Microsoft Access, Excel and Word Files Converting PDF User Manual Guide

Read this section in its entirety before the start of the export process. These are general instructions vary with different versions of MS Access. Access databases are all different in nature and may not be compatible with Word Mail Merge feature.

1. Open your Access database, select from the menu Tools, Office Links, Merge It with MS Word. Choose the option: Create a new document and linking the data followed by the Ok. A new Word document automatically opens with two new buttons, Insert Merge Field and Insert Word Field.
2. You will be using the RefWorks tagged format defined in the native soil of this document. Now type the encrypted field (eg RT, there is a space after each tag) and click Insert Merge Field and click on the relevant field to be included from Access.
3. Repeat step 2 for all the fields you want to import into RefWorks. After the last tag entry add one blank line. After such a blank line the next record will start.
4. Tools and select Mail Merge from MS Word menu.
5. Select Merge Data With Document.
6. Choose option, as merging data document, not print blank lines when data fields are empty. Click Merge.
7. A new MS Word document will be created with the credentials (merged from Access)
8. Save the MS Word document with the Save as a text file.

Before you will be able to import this file there will most likely file the necessary changes to meet the RefWorks format. As an example it is very likely that the Access database is not the same characteristics as a reference or name of the author the necessary syntax. See specific comments area below.
